SFTP

OVERVIEW

Process that will allow you to integrate your people's data (from your HRIS). This data will be updated every 24 hours at the selected time and this method is an alternative to building a more complex REST API integration.

EFFORT

Moderate
This is an approximation based on average time spend for existing Cerkl Broadcast clients.

ROLES

HRIS Expert
Comms Expert
These are the suggested technical resources needed to complete this task.

Multiple file upload and mapping

Once you have chosen a file to map, you will be taken through a 3-step process. If you were importing data that you will not be sending once you map your files, the data will be cleared for that attribute, including metadata and segments.

Uploading the CSV File(s)

Once you have your CSVs files from your(s) HRIS systems, these files will need to be uploaded to Cerkl’s SFTP file.

In order to achieve this, Cerkl will provide a set of credentials for starting the process. An example of this data is shown below:

  • Host: sftp.cerkl.com
  • Username: < Cerkl Provided>
  • Password: < Cerkl Provided>
  • Port: 2022

More information about the uploading process, can be found here.

Mapping Process

At this stage your(s) file() should be already uploaded into the SFTP server. You will be presented with the “drag and drop” step, where you will be able to match the data from your file to the data in Broadcast.

Verification

When mapping is done, the validation will automatically start. System will check the format of attributes, data format and/or any missing fields.

This should be super quick since we are not validating the whole file (We will validate the first 25 rows of the data).

If the validation is successful, you will automatically be taken to the “Review” step. Else, if the validation fails, we will show them a table with your client’s headers, what they mapped them to, and the error type.

Settings

System will indicate that you will need to establish the daily time the update of data will be performed, together with indicating the desired time zone.

It is important to mention that also all administrators will receive a notification email indicating the status of the audience Updated daily. The system user can add more persons to be in this distribution list, but administrators are mandatory.

Last but not least, the last setting is about the Unsubscribe Threshold, that indicates the percentage of the audience that we can safely remove if their files tell us to. If a file tells us to unsubscribe more than the set percentage, we will run the process and update all data EXCEPT unsubscribes. We will skip the unsubscribe process in this scenario.

Import Status Email

Everyday, the specified Team Members will receive an email about their import status that tells them everything they might want to know. There are four types of emails that your clients could receive: Successful, Skipped, Failed, Unsubscribe Threshold.
